1What it does
A New Leads workflow sends one GPT action the lead's own survey answers and gets back a personal text and email. The workflow, not the AI, decides what the business can promise based on working hours.

3How it works
Every step, in order, is in Workflow at a glance, pinned on the right as you scroll.
- 01 Trigger
Survey submitted (3 questions, one free-text 'tell us what's going on').
- 02 Action
Assign to user, add tag 'New Lead', create opportunity in the New Lead stage.
- 03 Action
Push notification to the owner with name, contact info and 'How soon do you need someone?'.
- 04 AI / action
GPT powered by OpenAI action (custom prompt, model GPT-6 Luna) writes a text and an email in one run, separated by '---'.
- 05 Action
Text Formatter splits the output into two messages.
- 06 Action + wait
If/else on working hours: business-hours reply plus a bridge call after a 5 minute wait; after-hours reply promises next-day contact.
- 07 Action
Fallback branch for gibberish and spam answers.
- Trigger
- Survey submitted (3 questions, one free-text 'tell us what's going on').
- AI step
- Custom prompt: write the first reply for a local plumbing company using the quoted survey answers. Return a 1 to 2 sentence text and a short email separated by three dashes. Greeting, booking link and signature stay fixed in the workflow.
4How it went
Two live tests in the video: a real-sounding request produced a personalized text and email; a gibberish test hit the fallback branch. No conversion numbers reported.
Only what the source reports. The source did not report numbers.
5Worth knowing
- 'AI writes the middle, you own the edges': keep greeting, booking link and sign-off outside the AI.
- One GPT action for both messages halves the premium action cost versus two actions.
- Put survey answers in quotes inside the prompt so the model sees where each answer starts and ends.
- The GPT action is a premium action with per-run charges. Leave chat history off for one-shot messages.
6Recipe
Adapted from source Reworded or reconstructed from what the source shows.
You write the first reply for {{business_name}}, a local {{niche}}.
The lead told us:
Service needed: "{{contact.service_needed}}"
Timeline: "{{contact.timeline}}"
In their words: "{{contact.whats_going_on}}"
Write two messages separated by a line with three dashes (---).
1) TEXT: one or two short sentences that show we read what they wrote. No greeting, no sign-off, no links.
2) EMAIL: three or four short sentences, same rules.
Never promise a call time, a price or a visit. If the answers make no sense, return only the word FALLBACK. 7Source
